Over the past decade, a rising number of young professionals, primarily from the United States and Europe, have leveraged the use of technology to work remotely and live a nomadic lifestyle. A forecast of employment trends by the World Economic Forum called flexible work, including virtual teams, “one of the biggest drivers of transformation” in the workplace, while a Gallup poll found that 37% of respondents have already worked virtually.

In the age of memes and Instagram, the switch to a virtual workforce is becoming more prevalent and appears to be the future for many companies. There are many benefits to this style of a workplace for both employees and employers. There are also some points to consider, such as collaboration, data sharing and security, as well as the possibility of a blended company of virtual and in-person employees.

If you hire locally in your own city you are greatly restricting the available talent pool that you can draw upon. You can also use the cost savings from virtual teams to pay more to your team members. The combination of being able to hire from anywhere, and potentially pay more will greatly increase the level of talent that you can attract in your business.
Don’t completely neglect face-to-face meetings. If it’s possible, organize a face-to-face encounter for the first meeting. It’s possible to be successful without ever meeting in person, but there isn’t a replacement for face-to-face contact in person. Meeting physically allows people to share a deeper personal connection. Eye contact, proximity, voice, and body language allow people to connect more closely than they would if they met virtually. If meeting in person for the first time isn’t possible, consider holding an annual gathering or other event to keep employees in touch.

Equip your team with knowledge of the basic aims and foundations of your company. For both parties to get the most benefit from a virtual work environment, there must be mutual trust between employer and employee. A worker must continue to complete assignments as required. You should be able to monitor this fairly easily based on the productivity of each employee working from home.
It doesn't matter if you are running a lean start-up or a long-running profitable business. You always have the chance of enjoying the benefits of virtual teams. Two examples from big companies, according to a Forbes magazine report: Aetna (where some 14,500 of 35,000 employees don’t have an “in-office” desk) shed 2.7 million square feet of office space, saving $78 million. While there will always be the need for full-time, on-site staff, the popularity of remote work might allow you to also use part-timers and save thousands in the process. People are much more likely to consider part-time work if they don't have to come in and can have flexibility, and not every role or company need requires a full-time employee. Reduced Ability to Collaborate - Even with video chat or video conferencing, employees lack the ability to sit face-to-face and collaborate on projects. Also, search for a virtual training program that requires low levels of training for the students and the facilitators.

Personal assistant’s possess quite a bit of power over their employers’ lives knowing all about the people they meet, the deals they make and what they keep hidden inside that locked desk drawer (…creepy, perhaps?) . Movies and TV shows from the likes of Devil Wears Prada to Rules of Engagement make us laugh and feel sorry for the personal assistants. Their lives are consumed by ego-maniacal tyrants paying them no more than a couple of funny pennies per hour. Luckily, apart from the odd unfortunate exception, the reality is much different. Yes, sometimes personal assistants are asked to do menial tasks ranging from the humiliating to the humdrum, and they are often asked to be on duty round the clock, but it usually pays off in more ways than one.

There are pros and cons of working from home. Every organization is unique — what may work for one may not work for another — but society is advancing in a way that’s leading to more virtual teams and opportunities to work remotely. Once a company decides to implement work from home policies, it’s wise to consider the possible roadblocks to success.

Eliminate email (almost). Hubstaff takes a stronger view on this, with our team avoiding most email like the plague. However, I’ve found that the occasional email is sometimes necessary. Lean towards project management tools like Basecamp and Redbooth, which allow you to keep track of what everyone says in one place. Most PM software also allows you to organize projects and store files, create checklists, and assign due dates for clear expectations.
Lock your phone and laptop. Make sure no one is able to access your devices without a password or fingerprint scan. Set your laptop to automatically lock if not in use for 5 minutes or more. This will keep your data safe. Google also provides a great phone tracking service. Just type “Where’s my phone?” In the Google search bar, or check out the Android Device Manager. There are also apps that take photos of whoever tries to unlock your phone or laptop with an incorrect password, such as GotYa! and Lockwatch.
Having a flexible schedule increases the morale of employees and gives them a sense of freedom and agency in their lives that going into a physical office often does not permit. The sense of boosted morale also increases productivity in virtual employees. Responsibility for the work that must be accomplished changes hands from the supervisors who watch over the office to make sure employees are doing their job and arriving on time to the employees, who must meet goals and expectations on their own.
I doubt many companies like or prefer that employees work from home. We allow the policy in order to be able to attract employees who would otherwise go elsewhere. We are heavy users of Slack, Confluence and other collaboration tools that make working at home more productive, but they cannot replace the serendipitous interactions that occur while hanging out by the nitro-coffee keg. - Manuel Vellon, Level 11
