A virtual team is a collection of independently employed individuals who work together to provide business solutions to external clients. For startups, using virtual teams can be a way to provide top products and services while remaining flexible for customers and responsive to their needs. Yet startups need to be aware of the benefits and disadvantages of virtual teams.
Make a list of tasks that will make up the job. Common tasks, such as running errands, data entry and answering telephones should not raise a personal assistant's pay. More challenging tasks, particularly those that are specialized, such as requiring your assistant to speak a second language, complete payroll for other staff members or travel for a long period of time, should be adequately compensated by raising the salary and offering a travel allowance. Also consider the time commitments of the job description. A personal assistant that works a standard business week may not make as much money as one who is on call or required to travel.

For employees, having the ability to telecommute thanks to having a virtual work place provides them with savings on commuting costs such as fuel. A paper from The Mobility Choice Coalition found that if 10 million employees who have the option to telecommute do so just twice a month, 21 million barrels of oil would be saved a year. With gas prices close to $4.00 a gallon, this would amount to $1.7 billion of fuel cost savings a year.1
When I try out a personal assistant, I give them two weeks of probation no matter how much I may love them in an interview. This gives me a chance to see how reliable they are and how comfortable I feel with them. During this time, I may pay them half the going rate to see how much they want to do the job right and follow through. If you have to let them go, be humble and smart: “I’m not sure it’s a great fit for either of us” is much more tactful than “You suck.”
A file-sharing service. Virtual teams need a place to share files. A file-sharing service will allow employees to store, access and share files in a secure location. Dropbox is one major platform for file sharing, but there are plenty of other popular services available, such as Google Drive and OneDrive. If you have highly regulated IT guidelines, it may be worthwhile to invest in your own IT-approved system.
Collaborate about team expectations and goals. Be sure that expectations and goals are clearly stated for virtual meetings. If working in a team, allow everyone to work together to create the team’s expectations and goals. This will set the standard for what’s expected from everyone, and allow everyone to agree on meeting protocols, such as how to resolve conflict and make group decisions.
As an Hourly Paid PA, you work to a rota along with a team of PAs. Shifts vary, depending on your employer’s needs, but are usually 12-hour day / 12-hour night shifts, e.g. 7am – 7pm, 7pm – 7am. Employer’s needs and preferences vary, an employer might require more care in the morning for example, or have a different routine at weekends. The rota will be designed by AskJules Ltd. and approved by your employer, usually two week rolling, 4 shifts one week and 3 the next. If you or your employer have any preferences or we think your abilities are better suited at particular times, the rota can be amended.
Employees from the younger generations of workers--Generation X and Generation Y, in particular--find virtual work a tremendous benefit. Virtual offices and telecommuting offer flexibility, and the comfort of being able to work independently without conforming to work rules, such as a dress code and traditional work hours. Telecommuting is appealing to some workers because it prevents the often unnecessary and unwelcome interruptions by co-workers and managers that can impede productivity and attentiveness.
I’ve also never had a full-time nanny for my three kids. I’m not judging others who are making different choices; it’s just not the right decision for me. For one, I don’t want a non-family member living in my house. But more importantly, parenting is my first value, so I want to do it myself as much as I can. (I’m fortunate in that I have a lot of schedule flexibility that enables this.)
According to a Gallup poll in 2007, the average commute time is 48.1 minutes round trip. While the commute by itself may not sound like a long time, there are other factors that can increase this. For example, the time to do things to get ready for work (such as taking a shower, getting dressed and having breakfast) can take another 30 minutes to an hour so adding these activities to the commute time can bring up the "non-work time" to 90 to 120 minutes. An employee can get so much more work done in that time if they did not have to travel into an office. According to the Telework Research Network, companies such as JD Edwards, AT&T and Compaq reported that their telecommuting employees are more productive than their office counterparts.2
I can use my own experience as an example for this. When I worked with a marketing agency in America, I was encouraged to voice my opinions, even if they went against our founder. When I consulted with businesses in the Philippines, a common complaint was about employees always saying “yes” to whatever their managers want (even if they couldn’t deliver).
Americans who telecommute for work are doing so for increased amounts of time. According to a Gallup survey, the number of workers who work one day or less from home shrank from 34% to 25% between 2012 and 2016. In the same time period, the number of people working remotely four or five days a week rose from 24% to 31%. According to Gallup’s State of the American Workplace report, 43% of Americans said they spent at least some time working remotely last year, up from 39% in 2012.
More Cost Effective and Efficient - Companies with many employees working from virtual environments usually have lower operating costs. With fewer people actually in the office, your business only needs a small leased space with less computer and workspace equipment. This equates to greater overall profitability. Virtual offices are more environmentally friendly, with fewer people commuting and less energy use.
Administrative Services – Most businesses need a good administrative assistant. A virtual assistant can handle all types of administrative services, which include managing company email, scheduling and confirming appointments, managing business correspondence, entering data, and assisting with bookkeeping. They can also take on additional administrative projects that you don’t wish to handle. Thankfully, you will find that many virtual assistants are Microsoft Excel experts.
While I completely agree that co-location can lead to a better collaboration, if not serendipity, in a global world with scarcity in best-in-class talent, organizations should retune themselves to have a distributed workplace. Before I tell you about my personal assistant, why I have one, and the financial benefits of hiring one, I’m going to give you permission to make fun of me. That’s right: Assume his name is Jeeves or Alfred, that I ask him to wash out my dirty socks and filet my pheasant under glass. Workers are more likely to work in excess of 40 hours a week if they’re working from home, and they also take fewer sick days. Employees working together across various time zones are more likely to achieve success if they’re able to collaborate from home. Business hours increase with more flexibility. Furthermore, business will continue as usual regardless of weather conditions that could limit productivity due to hazardous driving conditions.
